Run your clinic
The waitlist
Keep clients waiting for a time; a canceled visit is offered to them by email and the first to accept is booked.
The waitlist
The Waitlist keeps clients who want an earlier or a better time. Owners and reception see the whole list; a practitioner sees the clients waiting for them.
Add someone
On the Waitlist page use Add to the waitlist, or open the client's file and use Add to the waitlist under Appointments. Choose:
- the Practitioner, or Any practitioner;
- the Service they are waiting for;
- From and Until: the dates they could come in (From is today when left blank);
- a Note for staff if you like, such as "prefers mornings".
The client needs an email address, because offers go by email. One client waits once for the same service and practitioner.
When a visit is canceled
When a booked visit at least two hours ahead is canceled, Balm offers its time to every waiting client whose practitioner (or any practitioner), service and dates fit, and whose service fits at that start inside the practitioner's hours. Each gets an email with a private link.
- The first person to select Book this time is booked into the calendar at once, in the same room, and gets the usual confirmation with their intake link. They leave the waitlist.
- Everyone else who was offered that time is emailed that it has been taken, and stays on the waitlist. Their link says the same.
- An offer closes one hour before the visit. If staff book the time some other way first, the offer closes and nobody else can take it.
The Offers panel on the Waitlist page lists each offered time with who was emailed, who accepted and who was told it was taken.
Text messages
Offers by text message are not available yet: Balm sends them by email until the clinic connects a text-message provider.
