Appointment reminders

Balm writes the exact reminder for an upcoming visit, a person approves it, and you send it your usual way. Balm itself sends nothing.

Prepare the text

In the client's file, under Appointments, select Prepare reminder text on an upcoming booked visit. The client needs an email address. An assistant with an agent key can prepare reminders too.

The reminder reads like this:

Subject: Reminder: Follow-up visit at Riverside Physical Therapy

Hello Nora,

This is a reminder of your Follow-up visit appointment with Aisha Grant on Tue, Oct 27, 2026, 9:00 AM CDT at 2140 N Clark St, Chicago, IL 60614.

If you need to change it, please contact Riverside Physical Therapy.

Approve and send

On Invoices and reminders, under Appointment reminders, read the text and select Approve this exact text. Then Download approved reminder and send it from your own email.

If the appointment changes after the text was prepared, approval is refused: prepare it again.
